What happens if the workspace is a mess?
Notion AI degrades with it, and its own framing is blunt: thin or chaotic workspaces produce thin answers, and teams whose source of truth lives elsewhere feel the grounding gap immediately. That makes workspace hygiene a prerequisite rather than a nice-to-have, and it is the single best predictor of whether the AI layer will feel useful.
Can Perplexity work over private material?
Partly. Uploaded files join the web as evidence and Spaces organise ongoing work, which covers a project's documents well. What it does not do is live inside the place your team writes, so it has no view of the page someone edited this morning unless somebody remembers to upload it. That is the difference between research and institutional memory.
Do teams sensibly run both?
