What is the best free way to start?
ChatGPT's free tier for the general assistant work and Fathom for meetings. Fathom keeps unlimited recording, transcription and storage free for individuals, which makes it many people's default notetaker, and ChatGPT covers drafting, planning and questions without a subscription. Add Grammarly's free tier and most of a professional's daily writing is handled at no cost.
Copilot or Gemini?
Whichever suite your day already runs in. Microsoft Copilot works inside Word, Outlook, Excel and Teams on your organisation's own files and mail, and Gemini does the same across Gmail, Docs and Meet. The integration into the tools you already live in is the real advantage, so the decision follows your workspace, not a feature comparison.
Can AI manage my calendar?
Lindy can. Set up in plain language, it handles scheduling and email as an agent rather than a prompt, booking and rearranging from natural-language instructions and running on its own triggers. It suits recurring chores you would rather delegate than do, so keep an eye on anything consequential until you trust its judgement.
What is best for meeting notes?

Fireflies when the notes must reach the rest of the stack, syncing summaries and actions into the CRM and other systems. Both transcribe well, so the difference is whether a meeting should simply be remembered or should trigger downstream work.
Will this replace my note system?
It complements deliberate filing rather than replacing it. Otter turns what was said into a searchable archive you can question later, which captures far more than notes by hand, but a searchable pile is not a filing system. Use AI so nothing is lost, and keep your own structure for what you need to find again.
